This journal article, An evaluation of the clinician-facing research dashboards from the Toronto Adolescent and Youth (TAY) Cohort Study in mental health care, assessed dashboards using the Reach, Effectiveness, Adoption, Implementation, and Maintenance (RE-AIM) framework.
Quantitatively, most participants consented to share data with clinicians (97.2%). Dashboards were completed and uploaded for 69.2% of those who consented. Average time from consent to completion was about 8.2 months, improving to about 6 months after the initial implementation phase.
In interviews, clinicians described the dashboards as a secondary source of information that could support clinical decision-making, reduce participant frustration from repeating the same information, and promote collaborative, recovery-oriented care.
What it means
The core signal is not just “dashboards help.” It is “dashboards help when they show up early enough to shape care.” Clinicians reported that if the dashboard arrives after they have formed an impression, it becomes reference material, not decision support.
The frustration angle matters clinically. When young people repeatedly fill out questionnaires or retell their story across services, it can erode trust and engagement. A dashboard that carries forward patient-reported information can reduce that burden, if clinicians can reliably see it.
Where it fits
The work aligns with measurement-based care: using structured symptom and function information to guide treatment choices and track change over time. Dashboards are one way to package those data so they are readable during real appointments.
It also reflects a basic implementation lesson: tools fail less from bad ideas than from poor workflow fit. A well-organized interface still underperforms if users cannot find it in the electronic medical record or do not notice completion alerts.
How to use it
For clinics building similar tools, prioritize speed and placement over extra features. Clinicians in this evaluation wanted dashboards easier to find inside the electronic medical record and notifications routed through the electronic medical record messaging system, not email.
Make onboarding unavoidable and lightweight. Clinicians suggested quick-reference guides and simple resources they can review on their own time, which targets the “I didn’t know this existed” barrier.
Reduce upstream bottlenecks. Clinicians pointed to delays tied to scheduling diagnostic assessment interviews, consensus meetings, and populating dashboards, and suggested prioritizing self-report measures that can be uploaded promptly.
Limits & what we still don’t know
Only seven clinicians were interviewed, with a response rate just over 11%. That limits confidence about how widely these perceptions generalize, even though the sample resembled the broader clinician group with access.
The evaluation highlights feasibility and usability more than patient outcomes. We still do not know how much these dashboards change clinical decisions, appointment efficiency, or longer-term outcomes when fully integrated and delivered on time.

Clinicians valued research dashboards as decision support and as a way to honor patient-reported effort. But the deciding factor for adoption was operational: get the dashboard into the right place, at the right time, with alerts clinicians actually see.
